Use Klynke for everyday time tracking and project work
The Klynke Quick Guide covers the essential tasks you need for everyday time tracking and project management in Microsoft 365 and Teams.

Time Tracking
Log Time
Use the My Work tab to record your working time.
- Open the My Work tab.
- Select a date using the calendar or week view.
- Select the green + icon to open the Add Work dialog.
- Enter the number of hours and minutes.
- Add a description if needed.
- Select Register to save the entry.
Your time entry will appear in the calendar view.
Classify Time Entries
Use Task Type and Billing to categorize your time entries.
- Task Type: Identify the type of work performed, such as meetings, development, or support.
- Billing: Indicate how the time should be categorized for billing, such as billable or non-billable time.
The available options are configured by your Klynke Administrator.
Link Time to Projects and Tasks
You can link time entries to Klynke projects and Microsoft Planner tasks.
- Select Link to Work.
- Select a project.
- If applicable, select a task.
Only tasks assigned to you are available for selection.
Register Time from Outlook Calendar
Klynke can use events from your Microsoft Outlook calendar to help you register time.
By default, Klynke uses your personal Outlook calendar. You can also select a shared calendar that you have access to.
To register time from a calendar event:
- Select the green + next to the event.
- Klynke uses the event details to create the time entry.
- Review the entry in My Work and make any necessary changes.
Entries created from calendar events are marked with a check for easy identification.
Reuse Previous Entries
For recurring work, you can drag previous time entries onto another date in the calendar.
This is useful for recurring meetings, weekly activities, and other work that is repeated regularly.
Timesheets
Use the Timesheet tab to review, filter, and export your time entries.
Filter Time Entries
Klynke can update the timesheet automatically as you change the filters, or you can apply filters manually.
To apply filters manually:
- Enable Apply filter manually.
- Set the filters you want to use.
- Select Apply filter.
Select Multiple Projects
When manual filtering is enabled, you can select multiple projects from the project filter.
Select the checkboxes for the projects you want to include.
Customize Your View
Customize the timesheet to show the information you need.
You can:
- Hide columns you do not need.
- Rearrange columns.
- Export the data to Excel.
- Include your company logo in supported exports.
Your available options may depend on your role and your organization's configuration.
Timesheet Charts
Use the timesheet charts to visualize your recorded hours over a selected period.
Charts update based on the filters you apply, helping you analyze your recorded time.
Projects
The Projects section provides tools for managing projects and viewing project information.
Project Views
Klynke provides two project views:
- Normal View: View project details, resources, tasks, and time allocation.
- Performance View: Review consolidated project performance data for reporting and analysis.
Create a Project
Select Create new project and choose the project type that best fits your needs.
Available project types include:
- Team project: Creates a Microsoft Teams channel and Planner plan.
- Reference project: Links to or represents an external project, such as one managed in Microsoft Project.
- Confidential project: Restricts access and allows members to be assigned manually.
- From existing channel: Creates a Klynke project from an existing Teams channel.
- From existing group: Creates a project from an existing Microsoft 365 group.
View Project Details
Select a project number to open the project details.
From the project view, you can review project information, resources, tasks, and recorded time.
Project Performance
Use Performance View to review project performance across your projects.
It provides a consolidated view of performance data for monitoring, reporting, and analysis.
Klynke Administrators can recalculate performance data when needed. Other users can view the calculated results according to their permissions.
Time Tracking on Planner Tasks
You can register time against Microsoft Planner tasks in several ways:
- From My Work, using Link to Work.
- Directly from the Project View.
- From the Task List, where the project and task are selected automatically.
Compare Estimated and Actual Time
Open a project to compare planned hours with the time actually recorded.
This helps you monitor project progress and identify differences between estimated and actual work.
Approval Workflow
If your organization uses the approval workflow, submitted time entries can be reviewed and approved through multiple approval levels.
The approval workflow is disabled by default and must be enabled by a Klynke Administrator.
How Approval Works
Klynke supports up to five approval levels, depending on your organization's configuration.
- Recall and edit: Users can recall their entries for editing until they have been approved at a higher level.
- Approval and locking: Once an entry is approved at a higher level, it is locked at that level.
- Final approval: When an entry reaches the final configured approval level, the approval process is complete and the entry is fully locked.
- Export approved hours: You can export only approved hours when supported by your configuration.
Approve Time Entries
To approve time entries:
- Open the Timesheet tab.
- Select Open Approval Process.
- Select the entries you want to approve using the checkboxes.
- Select Approve Selection.
- Confirm the approval when prompted.
Approved entries are locked according to the configured approval level.
