      • Information needed to provide customer support and administer your account

      Microsoft 365 information

      When Klynke is authorized by you or your organization's Microsoft 365 administrator, Klynke may access the Microsoft 365 information required to provide the features you use. Klynke requests and uses only the permissions needed for its functionality.

      Customer business data

      This customer business data is stored within your Microsoft 365 tenant, primarily in SharePoint Online. Klynke does not maintain a separate database containing a copy of this customer business data.

      Microsoft handles all information needed to operate the service, such as account, subscription, and licensing information.

      2. Microsoft 365

      Klynke accesses Microsoft 365 information through Microsoft Graph based on the permissions authorized by the customer or its Microsoft 365 administrator.

      Your organization remains in control of its Microsoft 365 environment, including users, permissions, access controls, and retention settings.

      Microsoft's own processing of information through Microsoft 365 and related services is governed by Microsoft's applicable terms and privacy documentation.

      3. Service Providers

      Klynke uses Microsoft Azure and Microsoft 365 services to operate and support the service.

      We may also use service providers for limited business functions such as payment processing, communications, support, or administration.

      Where a service provider processes personal data on our behalf, we take appropriate steps to ensure that the processing complies with applicable data protection requirements.

      4. Data Location and International Transfers

      Customer business data is stored within your organization's Microsoft 365 environment. The location of that data depends on your Microsoft 365 configuration and the Microsoft services used by your organization.

      Other information such as subscription, licenses, amd email may be processed using services operated by Klynke and its Microsoft  service provider.

      5. Security

      Klynke uses appropriate technical and organizational measures designed to protect all data against unauthorized access, alteration, disclosure, loss, or destruction.

      Klynke's application infrastructure uses Microsoft Azure and Microsoft 365 services.

      6. Data Retention

      Customer business data stored within your Microsoft 365 environment remains subject to your organization's Microsoft 365 retention and deletion settings.

      Klynke may retain account, subscription, licensing, email, and support information for as long as reasonably necessary for legitimate business or legal purposes.

      7. Cookies and Website Technologies

      Klynke may use cookies and similar technologies that are necessary to operate and secure our website and services.

      We do not use customer business data for advertising. Klynke does not sell any data.

      If we introduce non-essential cookies or analytics technologies, we will update this Privacy Policy and provide any consent mechanism required by applicable law.

      8. Your Rights

      Where applicable law, including the GDPR, gives you rights regarding your personal data, you may have the right to:

      • Access your personal data

      • Correct inaccurate data

      • Request deletion

      • Request restriction of processing

      • Object to certain processing

      • Request data portability

      • Withdraw consent where processing is based on consent

      You may also have the right to lodge a complaint with your local data protection supervisory authority.

      If your personal data is contained in customer business data managed within your organization's Microsoft 365 environment, you may need to contact your organization to exercise your rights because your organization may determine how that data is processed.
