Privacy Policy
Effective Date: October 6, 2026
Company: Klynke ehf. (“Klynke,” “we,” “us,” or “our”)
Product: Klynke Time Management (“Klynke” or the “Service”)
1. Introduction
Klynke respects your privacy and is committed to protecting personal data.
Klynke is designed to work within your organization’s Microsoft 365 environment. A fundamental principle of our service is that Klynke does not require you to upload or maintain a separate copy of your organization’s business data in Klynke. Instead, Klynke uses Microsoft technologies, including Microsoft Graph, to access information within your organization’s Microsoft 365 environment as necessary to provide the Service.
This Privacy Policy explains what information Klynke receives, how we use it, and how we protect it when you use Klynke.
Klynke may be purchased or subscribed to through Microsoft Marketplace. Microsoft’s processing of information associated with your Microsoft account, marketplace transaction, or payment is governed by Microsoft’s own privacy terms.
2. Information We Receive Through Microsoft
When your organization purchases or subscribes to Klynke through a Microsoft commercial marketplace, Microsoft may provide Klynke with information necessary to provision and manage the subscription.
Depending on the marketplace transaction and subscription, this information may include:
-
The name and email address of the person who purchased or provisioned the subscription.
-
The name of your organization.
-
Your Microsoft Entra tenant ID.
-
A subscription or entitlement identifier.
-
Information about the Klynke plan or offer that was purchased.
-
Information necessary to manage the subscription and provide support.
We use this information to provision and activate Klynke, manage licensing and subscriptions, provide customer support, communicate with customers about the Service, and fulfill our contractual and legal obligations.
We do not use subscription information for third-party advertising.
Microsoft’s processing of payment information and information associated with your Microsoft account is governed by Microsoft’s applicable privacy terms.
3. Customer Business Data and Microsoft Graph
Designed without a separate customer data store
Klynke is designed so that customer business data remains within the customer’s Microsoft 365 environment.
Klynke does not require customers to upload their Microsoft 365 business data into a separate Klynke database. Instead, when authorized by your organization, Klynke uses Microsoft Graph and other Microsoft technologies to access the information required to provide the Service.
The information Klynke can access depends on the Microsoft Graph permissions granted to Klynke by your organization and the functionality you use.
Klynke uses customer business data only to provide and operate the Service on behalf of your organization. We do not sell customer business data, and we do not use it for advertising.
Microsoft 365 remains the source of your customer data
Because customer business data remains within your organization’s Microsoft 365 environment, its underlying retention, deletion, access, and governance are primarily controlled through your organization’s Microsoft 365 and Microsoft Entra configuration and policies.
Klynke does not independently establish a separate retention period for customer business data that remains in your Microsoft 365 environment.
4. Information We May Process When You Use Klynke
When you sign in to or use Klynke, we may process limited information necessary to authenticate you, provide the Service, and maintain the security and operation of Klynke.
This may include:
-
Your Microsoft account or work account identifier.
-
Your name and email address.
-
Your Microsoft Entra tenant ID.
-
Information about your Klynke subscription, license, or assigned permissions.
-
Technical information necessary to operate, secure, and troubleshoot the Service.
-
Information you provide when contacting Klynke for support.
We collect and process only the information reasonably necessary to provide, secure, maintain, and improve the Service.
5. How We Use Information

Klynke does not use customer business data for advertising.
6. Data Sharing and Disclosure
Klynke does not sell personal data or customer business data.
We may disclose or provide access to information only when reasonably necessary to operate the Service, fulfill our contractual obligations, comply with applicable law, protect the security of Klynke or its users, or respond to lawful requests.
Klynke relies primarily on Microsoft services and infrastructure to operate the Service. This may include Microsoft Azure, Microsoft 365, Microsoft Entra, and Microsoft Graph.
7. Microsoft Services and Infrastructure
Klynke is built to operate within the Microsoft ecosystem and uses Microsoft services and technologies, including Microsoft Azure and Microsoft Graph.
Microsoft processes information under its own terms and policies where Microsoft is acting as an independent controller or otherwise processing information under its applicable terms.
For more information about Microsoft’s privacy practices, please refer to Microsoft’s Privacy Statement.
8. Data Security
Klynke uses appropriate technical and organizational measures designed to protect information against unauthorized access, alteration, disclosure, loss, or destruction.
A key part of Klynke’s security and privacy model is that customer business data is maintained within the customer’s Microsoft 365 environment rather than being routinely copied into a separate Klynke data store.
Access to Microsoft 365 data through Microsoft Graph is governed by Microsoft identity, authentication, authorization, and permission mechanisms.
No method of transmission or storage is completely secure. Klynke therefore continuously evaluates and improves its security practices as appropriate to the nature of the Service and the risks involved.
9. Data Retention
Klynke does not establish an independent retention period for customer business data that remains within your organization’s Microsoft 365 environment.
Customer business data stored in Microsoft 365 remains subject to your organization’s Microsoft 365 retention, deletion, access, and governance policies.
Klynke may retain limited account, subscription, licensing, technical, and support information for as long as reasonably necessary to provide the Service, maintain business and security records, resolve disputes, comply with legal obligations, and enforce agreements.
Where information is no longer required for these purposes, Klynke will delete or otherwise dispose of it in accordance with applicable requirements and its internal practices.
10. Cookies and Similar Technologies
Klynke may use cookies and similar technologies that are necessary to operate, secure, and maintain its website and Service.
Where required by applicable law, Klynke will obtain consent before using non-essential cookies or similar technologies.
Klynke does not use customer business data for advertising.
11. Your Privacy Rights
Depending on your location and applicable law, you may have rights relating to your personal data, including rights to access, correct, delete, restrict, or otherwise control certain processing of your personal data.
Because Klynke is primarily designed for organizational use and integrates with Microsoft 365, some requests may need to be handled through your organization’s Microsoft 365 or Microsoft Entra administrator.
If you have a privacy request relating to information processed directly by Klynke, you may contact us using the information below. We may need to verify your identity and authority before responding to certain requests.
12. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes to Klynke, our data-processing practices, technology, or applicable law.
The Effective Date at the top of this Privacy Policy indicates when it was most recently revised.
