We comply with applicable data protection laws in all jurisdictions where our services are offered. As a SaaS provider integrated with Microsoft 365, we process data responsibly, retain it only as necessary, and do so with user consent or other lawful bases such as contract and legitimate interest. Our practices align with GDPR, the ePrivacy Directive, and Microsoft’s Publisher Agreement.
2. Data We Collect
We collect only the data necessary to deliver and improve our services:
• Klynke App (Microsoft 365 Environment):
All time‑tracking, task, and project data created through the Klynke app remains inside your Microsoft 365 tenant. Klynke does not store, transfer, or access this data outside your environment. We do not access user content such as emails, messages, files, or calendar details.
• Klynke.com (Marketing Website):
We collect anonymized website analytics to understand traffic patterns and improve our site. No personal data is sold or shared.
• Klynke Subscription Portal:
We collect and store limited personal information (name, email, subscription details) to manage your account and billing. This data is securely hosted on Microsoft Azure.
3. Collection Methods
We collect data through:

Direct Interactions: such as registration, subscription, or support requests.

Microsoft 365 integrations, where permissions are granted by the user or tenant administrator.

Microsoft Partner Center, which provides anonymized usage metrics and tenant‑level identifiers.
We follow the principle of data minimization, collecting only what’s necessary for clearly defined purposes.

Cookies are used only on klynke.com to enhance user experience, maintain session states, and analyze performance.

• Data is encrypted during transmission and storage.
• Hosted on Microsoft Azure, compliant with ISO/IEC 27001, SOC 1/2/3, and GDPR.

• Request corrections to inaccurate or incomplete data.
• Request deletion of your data, where applicable.
• Withdraw consent for data processing.
Requests related to data stored inside your Microsoft 365 tenant must be handled by your organization’s Microsoft 365 administrator.

8. Cross-Border Data Transfers
If data is transferred outside your region, we ensure compliance with legal safeguards such as GDPR’s Standard Contractual Clauses. Most processing occurs within Microsoft Azure’s EEA-based data centers.
9. Automated Decision-Making
Klynke does not use automated decision‑making, profiling, AI, or machine learning systems that produce legal or significant effects. Any automation in the product is limited to user interface convenience and does not interpret or analyze user data.
10. Updates and Notifications
We regularly review and update our privacy practices. Any changes to this policy will be posted here with a revised effective date. Significant updates may be communicated via email.
11. Governing Law and Jurisdiction
This Privacy Policy is governed by the laws of Iceland. Any disputes shall be subject to the exclusive jurisdiction of the Reykjavík District Court in Iceland.
